If you are the System Administrator or Systems Librarian at your library and you've been thinking seriously about the Open Source Library System options -- Koha and Evergreen -- you'd probably like to take a peek under the hood. Because, after all, with open source software, you can! Rather than just hearing about the product you might decide to switch to, with Evergreen and Koha, you can actually try them out for yourself!

As a result of this all day, hands-on workshop attendees will:

  • Know the basic workflow and components of an Evergreen system.
  • Understand the differences between Local and Server Administration levels in Evergreen and how to define administrative tasks between levels.
  • Understand the role of Organizational Types and Units in Evergreen configuration.
  • Be able to define Permission Groups and Users.
  • Learn about and be able to library-specific settings and options.
  • Configure basic hold and circulation policies.
  • Be familiar with Evergreen reports.

Workshop Description: This is a one-day, hands-on workshop in which each attendee will access an Evergreen server using their own Wi-Fi equipped laptop. No previous Linux experience is required, but system administrator experience is strongly encouraged. The instructor will explain the basic system workflow for Evergreen administration (including set-up and management), and provide example server configurations for different types of systems. He will explain the Local and Server Administration features of Evergreen and how the system uses Organizational Unit Types to set permissions for users and groups.

Each student will act as the Local Administrator for their own example library to see first-hand, the options they control versus options controlled at the Server Administration level.

Preliminary Course Outline

  • Module One
    • Introduction to Evergreen: Basic system workflow, large-scale multi-server options, and example server configuration / setup.
    • Local vs. Server Administration: Difference between local and system level administration in Evergreen, required skills for each area.
  • Module Two
    • Server Administration: Defining Organization Unit Types, Organizational Units, Permission Groups, and Users.
    • Evergreen Customizations
    • Overview of Evergreen installation directory and ways to modify files for OPAC and staff client customization.
  • Module Three
    • Local Administration: Library Settings, Editor Overviews (Receipt Templates, Closed Dates, Copy Locations, Statistical Category, Group Penalty)
    • Notification/Action Triggers (i.e. notices)
  • Module Four
    • Circulation/Hold Policies
    • Evergreen Reports (SQL database queries too)

About the Instructor: Benjamin Shum is the Open Source Software Coordinator for Bibliomation, Inc., a consortium of public and school libraries in Connecticut that implemented the Evergreen ILS in March 2010. As a member of the open source team, he works primarily on the technical side of operations, setting up and configuring the Evergreen system. Benjamin received his B.S. in computer systems administration in 2008 from Andrews University and is currently pursuing his M.L.S. from Southern Connecticut State University.

Who Should Attend: This course is designed for a technical audience comfortable with ILS system administration tasks.

What Attendees Should Bring With Them: Each attendee must bring their own laptop and be prepared to connect wirelessly to the Evergreen server that the instructor will provide. If more than one person is coming from a library, they can share a laptop. Also, bring your own thermos for water. No bottled water, coffee or food will be provided.
